What we collect

We keep what we collect light. The only personal data we handle through this site is:

  1. Contact form submissions. If you fill in the contact form, we receive your name, email address and the content of your message. We use this to reply to your enquiry.

  2. Analytics data. We use Google Analytics 4 to understand how visitors use the site. This includes anonymised IP address, pages viewed, time on page, device type, browser, approximate location (country / city level), and referral source. We never see individual users by name and we never combine this data with contact form data.

  3. Server logs. Our hosting provider, Squarespace, automatically logs basic technical data when you load any page (timestamp, IP address, request URL, response code). This is used for site security and performance only.

Why we use it and on what legal basis

Contact form data: used to reply to your enquiry and take next steps if you become a client. Legal basis is contract or pre-contractual steps under UK GDPR Article 6(1)(b).

Analytics data: used to understand site performance and improve content. Legal basis is consent under UK GDPR Article 6(1)(a). You can decline via the cookie banner.

Server logs: used for site security, fraud prevention, and technical operation. Legal basis is legitimate interests under UK GDPR Article 6(1)(f).

Who we share data with

We do not sell personal data, ever. We share it with the following service providers, each acting as a data processor under contract:

Google LLC for Google Analytics 4. Data may be transferred to the US under the EU-US Data Privacy Framework (adequate transfer mechanism). Google’s privacy policy is at policies.google.com/privacy.

Squarespace, Inc. for hosting and contact form delivery. Data may be transferred to the US under the same framework. Squarespace’s privacy policy is at squarespace.com/privacy.

We may also disclose data if required to do so by law, court order, or to protect our legal rights.

How long we keep it

Contact form enquiries are kept for as long as needed to respond, then archived for up to two years for business record-keeping.

Client records and correspondence are kept for six years after the end of the business relationship, as required by UK accounting and tax law.

Analytics data is kept for 14 months from collection (Google Analytics 4 default).

Server logs are typically kept for 30 to 90 days (managed by Squarespace).

Your rights

Under UK GDPR you have the right to:

Ask what personal data we hold about you (right of access).

Ask us to correct anything that is inaccurate (right to rectification).

Ask us to delete data we no longer need (right to erasure).

Ask us to restrict how we use your data (right to restrict processing).

Ask for a copy of your data in a portable format (right to data portability).

Object to processing based on legitimate interests.

Withdraw consent at any time for anything we process under consent. This does not affect prior processing.

To exercise any of these, email alex@northworks.io. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or 0303 123 1113. We would appreciate the chance to resolve any issue with you first.

Changes to this policy

We may update this policy occasionally to reflect changes in how we operate or in the law. The “Last updated” date at the top will always show the most recent version. Material changes will be flagged on the homepage for a reasonable period.
